This Refund Policy explains how payments, cancellations, and refunds are handled for aircraft rental, simulator time, and block-hour packages provided by Kodiak Aviation (“we,” “our,” or “us”). By reserving or purchasing time with us, you agree to this policy. It should be read together with our Terms & Conditions.
All block-rate (discounted) hour purchases are valid for three (3) months from the date of purchase. Any unused hours remaining after the three-month validity period expire and are non-refundable. Block hours are non-transferable and apply to aircraft rental and simulator time as described on our Packages page. Block-hour purchases are generally non-refundable once activated; if you believe you have exceptional circumstances, contact us and we will review your situation in good faith. Aircraft and simulator time is billed on recorded flight time at our published dry rates. Because you are charged for actual time flown, completed rentals are not refundable. If a billing error occurs, please notify us within 14 days and we will promptly review and correct any verified discrepancy.
Plans change, and we ask that you cancel or reschedule through our Flight Schedule Pro booking system, or by contacting us, as early as possible so the aircraft can be offered to other renters. Reservations cancelled with at least 24 hours’ notice are not charged. Repeated late cancellations or no-shows — cancelling with less than 24 hours’ notice, or failing to appear for a reservation — may affect your future scheduling privileges. We do not charge a fee for routine cancellations made in good faith; any change to this practice will be communicated in advance.
Safety comes first. If a reservation is cancelled due to weather, aircraft maintenance, unairworthiness, or any other safety-of-flight reason — whether the decision is made by you or by us — you will not be charged, and any prepaid amount for that reservation will be refunded or credited at your option.
Where a deposit is required (for example, for overnight or multi-day rentals), the deposit is applied toward your rental charges. If the rental is cancelled by you with adequate notice, or cancelled for weather, maintenance, or safety reasons, your deposit is refunded. Deposits may be retained to cover documented late-cancellation costs, damage, or amounts owed under our Terms & Conditions.
Approved refunds are issued to the original method of payment within a reasonable time, typically within 5–10 business days, depending on your payment provider. Account credits, where offered, are applied to your Kodiak Aviation account and remain subject to any applicable validity period.
To request a refund or ask a question about a charge, contact us with your name, reservation details, and the reason for your request. We review each request individually and aim to respond within a few business days.
